Custom CRM & AI booking platform · 2025–2026

LimoPilot

A multi-tenant CRM that runs a limo operator's whole front office: leads, one inbox, AI quoting, contracts, deposits, dispatch hand-off and a business-intelligence layer.

Built and run in production. Our own limo company runs on it every day. No outside operator pays for it yet, and we say so.

18modules in one portal
3inbound doors feeding one pipeline: calls, texts, marketplace enquiries
30intelligence milestones shipped
2,548automated checks across 33 suites (counted Aug 2026)

What we built

A whole front office in one system.

01

Every channel becomes a lead

A phone call, a text message and a Yelp or Zola enquiry email all create a row in the same pipeline. A voicemail goes recording → transcript → AI summary → extracted booking details → lead, with nobody retyping anything.

02

The AI asks before it quotes

One list of ten required fields is read by every quoting path. Short of it, the customer is asked for the gap, their answer is extracted back into the lead, and the quote goes out once the lead is complete.

03

Quotes from the operator's own rate card

A stackable pricing-rules engine holds the operator's seasons, minimums, flats and fees. On our own limo company, the AI's quotes match the owner's manual quotes on real jobs.

04

Contract and deposit in the same conversation

E-signed contracts, card authorisation and Stripe deposit links, sent by text and email.

05

An operator network

LimoPilot Connect: an operator directory searchable by city, airport and vehicle, partner invitations, private quoting, job hand-off onto a real booking and tiered cascading dispatch.

06

A business-intelligence layer

A daily brief, a health score you can take apart, forecasts graded against what actually happened, channel attribution and a what-if simulator. When it can't measure something, it says so instead of guessing.

07

Consent is enforced, not optional

Opt-outs and Do-Not-Disturb are respected per channel inside the send path. When a text is blocked, it falls back to email where allowed and never clears the flag.

08

Multi-tenant from day one

Every table carries a tenant id with row-level security, white-label branding per operator, roles and an editable permission matrix.

The constraint map

What limits a limo company — and what software can do about it.

Before we wrote features, we mapped what actually limits a small limo company: 32 constraints across regulation, costs, the market, the owner's time and cash flow. Then we were honest about which ones software can touch.

Built for The phone rings while you're driving

Calls, texts and marketplace enquiries become leads automatically, and the AI replies on the channel the customer used.

Built for Messages arrive in nine inboxes

One inbox. Email replies thread back into the same conversation.

Built for Pricing lives in the owner's head

The operator's rate card as stackable rules, so the AI quotes the same way the owner would.

Built for Quotes go out missing details

Ten required fields. The AI asks for what's missing before it will quote.

Built for No-shows and skipped deposits

E-sign contract and deposit link in the same conversation.

Built for Farm-out chaos

Affiliate module plus the Connect network: directory, private quoting, hand-off, cascading dispatch.

Built for Flying blind

A daily brief, graded forecasts and channel attribution, with refusals where data is thin.

Eases Chargebacks weeks later

Every booking keeps its conversation, quote, signed contract and card authorisation together. It can't stop a dispute; it gives you the paper trail.

Eases Seasonality

Forecasts help you see the trough coming. They don't move the weddings.

Eases The owner is the whole office

Takes the front-office paperwork off the owner. It will not drive the run or wash the car.

Can't fix Insurance, permits and inspections

No software fixes these. We say so.

Can't fix Vehicle prices, fuel and chauffeur hiring

No software fixes these either.

Verdicts describe what the software is designed to do. They are not measured results for any outside operator.

Lesson

The bug we now design every build against

A messaging provider returned "201 Created" for texts it later failed to send, and for two days our inbox showed a checkmark beside every one. Nothing was technically an error, so nothing was logged. We fixed it by recording delivery status from the provider and showing the real reason on screen. Since then, every automation we build has to say out loud when it didn't do its job. Silent success is the most expensive bug in automation.
